Shipping, Delivery, Protection, Returns & Dispute Policy

We ship worldwide, and we genuinely want your badges to arrive safely and smoothly. This page explains how shipping works, how to choose the right option for your needs, what we do to protect your order, and how we handle returns or problems if something goes wrong.
We’ll always do our best to help, and we also want everything to be clear and fair from the start.
By placing an order, you agree to the Terms and Conditions on our website. All delivery timeframes are estimates, not guarantees.

1) Dispatch Time
Most orders ship within 2–3 business days (excluding weekends and public holidays).
You will receive a dispatch confirmation email once your parcel has been handed to the carrier.
If you don’t receive a dispatch confirmation within 5 business days, please contact us and we’ll check it with you.

2) Choosing the Right Shipping Option
Every Scout knows: choose the right gear for the journey. Shipping works the same way.
We offer tracked and untracked services. The best option depends on what matters most to you (budget, peace of mind, delivery confirmation). We don’t tell you what to choose, we simply explain what each service includes so you can pick what suits your mission.

3) Shipping Services and Costs

Netherlands 

PostNL Letterbox Tracked
Flat Rate – £6.00 per order
What this includes:
  • Tracking number provided after dispatch
  • Carrier tracking scans during transit
  • Delivery scan where available
    Best for: peace of mind and delivery confirmation.

PostNL Untracked
Flat Rate – £3.00 per order
What this includes:
  • Standard postal delivery with no tracking
  • No transit scans or delivery confirmation
    Best for: lower-cost shipping when tracking is not essential.

International (Worldwide)

International PostNL (No Tracking)
Up to 0.3 kg – £4.99
0.301 kg to 0.99 kg – £6.99
1 kg to 2 kg – £9.99
2.01 kg and above – £14.99
What this includes:
  • Standard international mail with no tracking
  • No transit scans or delivery confirmation
    Best for: keeping costs down where tracking is not required.

International Tracked PostNL 
0 kg to 1.5 kg – £9.99
1.5 kg to 2.5 kg – £14.99
2.5 kg and above – £24.99
What this includes:
  • Tracking number provided after dispatch
  • Carrier scans during transit
  • Delivery confirmation scans where available
    Best for: higher-value orders, gifts, time-sensitive badges, and added reassurance.

DHL Express
Flat Rate – £39.99 per order
What this includes:
  • Premium courier service with full tracking
  • Faster transit in many countries
  • Signature confirmation where available
    Best for: maximum speed, maximum visibility, and “I need it yesterday” situations.

4) Estimated Delivery Timeframes
These are typical transit estimates after dispatch:
Netherlands: 1–5 working days
Europe: 5–10 working days
North America, Africa, Asia: 10–15 working days
Australia, New Zealand, South America: 15–30 working days
Delays can happen due to customs, weather, peak periods, strikes, security checks, or local carrier handling. A delay does not automatically mean a parcel is lost.

5) How We Protect Your Order
We do our part, every time:
  • We pack orders carefully to protect items in transit
  • We label clearly and dispatch through established carriers
  • We send a dispatch confirmation email as soon as your parcel leaves us
  • For tracked services, we provide tracking information after dispatch
  • If you contact us with an issue, we will investigate and work with you to find the most reasonable solution under the service you selected
You can think of us as your Quartermaster. We want your kit to arrive ready for adventure.

6) Address Accuracy and Delivery Attempts
Please double-check your address before paying.
You are responsible for providing a correct, complete delivery address. If an order is returned due to:
  • incorrect or incomplete address
  • failure to collect from a pickup point
  • refusal of delivery
  • failure to pay customs charges
then re-dispatch requires payment of new shipping charges.
A recorded carrier delivery attempt (where applicable) is considered performance of the delivery service.

7) Customs, Duties and Import Charges
(International Customers)For deliveries outside the Netherlands/EU:
  • you are responsible for all import duties, taxes, brokerage fees and clearance charges
  • customs delays are outside our control and are not grounds for refund
  • if customs charges are refused and the parcel is returned, re-dispatch requires new postage payment
  • we cannot refund customs duties paid to your local authorities

8) Returns and Refund Process
We keep this clear and fair.
Return EligibilityYou may request a return within 14 days of delivery, provided the item is:
  • unused
  • in new, sealable condition
Certain items are not returnable, including:
memorabilia, clearance/sale items, used/opened items, and custom-produced items (unless faulty).
How to Start a ReturnEmail us at [email protected] within 14 days of delivery and we’ll confirm the return instructions.
Return Shipping
Return shipping is the customer’s responsibility and risk. We strongly recommend using a tracked service for returns.
Refund Timing
If a refund is approved, it will be processed within 14 days after we receive and inspect the returned goods.
Refund Amount
  • If the return is due to our error or a confirmed defect, we refund the item cost and reasonable return postage (with proof).
  • If the return is due to customer choice (changed mind / ordered wrong item), we refund the item cost only and original shipping is not refundable.
Refunds are issued to the original payment method only.

9) If Something Goes Wrong (Missing or Delayed Orders)
If your order hasn’t arrived, contact us. Most issues are easier to solve when we tackle them together early.
Notification WindowYou must notify us of non-delivery within 45 calendar days from dispatch.
After 45 days, the order is considered complete and no further claim can be accepted.

Tracked Services
If you selected a tracked service, we will review tracking history and carrier scans and investigate.
Carrier delivery confirmation (or equivalent carrier scan confirmation) is treated as proof of delivery.
Untracked Services
Untracked services do not provide location updates. If you selected untracked shipping, we will still listen and help where we can, but the resolution options are limited because the service itself does not generate tracking evidence.
Where appropriate, store credit may be considered no earlier than 60 days after dispatch, at our discretion.

10) Disputes and Chargebacks (Important)
We always prefer to resolve problems directly with you.
When a customer files a credit card chargeback, we are automatically charged a penalty fee of approximately £30, regardless of whether the order value was £5 or £1,000. This penalty applies even before the case is decided.
Because of this, we ask customers to contact us first so we can find a fair solution quickly. A quick message to us is almost always faster than a bank process, and it helps keep this Scout-run project healthy for everyone.

By purchasing from Karuna Badges, you agree that:
  • you will contact us first to resolve any issue before contacting your bank
  • your chosen shipping service affects what evidence is available (tracked vs untracked)
  • delivery delays do not automatically mean non-delivery
  • disputes must be raised within the 45-day window

We are reasonable and we will work with you. We simply ask for the same good faith in return.
